What is an automation in Reportei, and how do I set one up?

Reportei automations generate and send reports or metric summaries on a schedule you choose. They keep clients and your team informed without repeating the same manual steps every period.

This guide explains the two automation types, where to find them and how to configure each step.

Types of automation

Choose the type that fits what you want to share:

  • Reports: Reportei generates a full report from a template and sends it automatically. Use this to deliver client results, share information with analysts or keep an organized report history.
  • Summary: Reportei sends a text message with the project’s main metrics. This is useful for quick updates without requiring the recipient to open a report.

The available delivery methods depend on the automation type:

Delivery methodReportsSummary
Notification in Reportei✅❌
WhatsApp: direct delivery✅✅
Webhook notification✅✅
Email✅✅

You can combine more than one delivery method in the same automation.

Where do I find Automations?

There are two ways to access the feature:

Open the relevant project in Reportei and click WhatsApp and Email Automations.

Email and WhatsApp automation block

Or use the shortcut in the project’s three-dot menu:

Project menu with Automations highlighted.

How to set up an automation

The Automations page lists the project’s existing automations. Click New automation to create one, then complete the three steps below.

Step 1: Automation type and integrations

In Reportei:

  • Choose Reports or Summary.
  • Select the integrations to include.
  • Enter an email address for integration-failure alerts. Reportei uses it to notify you when a connection issue prevents delivery.

Step 2: Content

The options in this step depend on the automation type.

If you chose Reports:

  • Select the report’s analysis period.
  • Choose a Reportei template, an Expert template or one of your saved templates.
  • Enter the report’s title and subtitle.

If you chose Summary:

Reportei starts with a message template based on the main metrics from your selected integrations. You can edit the text to suit your needs:

  • After inserting a metric, click it to choose whether to show the analysis-period value, the comparison-period value or the percentage change.
  • To insert a metric or variable, type / and select the item. You can also use the Variable and Metric buttons above the message editor.

Step 3: Delivery, frequency and name

Choose how and when the automation will run.

In Reportei:

  1. Select one or more delivery methods and enter the details for each one, as explained below.
  2. Set the delivery frequency.
  3. Choose the execution time.
  4. Enter a title to identify the automation in your list.
  5. Click Save.

Reportei will carry out the scheduled deliveries while the automation remains active.

Delivery method settings

  • Notification in Reportei: makes the report available inside the platform without an external message. This is available only for Report automations.
  • WhatsApp: Reportei sends the message directly, without requiring an external automation tool.
  • WhatsApp via webhook: use this for custom workflows with Zapier, Make, n8n or another automation tool. Our partner Matheus Palma’s video demonstrates the setup.
  • Email: configure the message, subject, recipient email address and Reply-to address. Replies from the recipient go to the address you enter in Reply-to.

For more details, see the WhatsApp automation guide.

Frequency and time

Choose from these frequencies:

  • Daily
  • Weekly
  • Every two weeks
  • Monthly

Daily automations are available from the Pro plan. The other frequencies are available on all plans that include automations.

For monthly automations, choose when in the month the delivery should happen:

  • First, second, third, fourth or last: also select a weekday. For example, choose the first Monday or last Friday of the month.
  • Specific day: select a calendar date, such as the 5th, 15th or last day of the month.

You can schedule delivery for the start of the day, the end of the day or another time you choose.

Things to check

  • The automation sends messages only while it is active. Check its status in the project’s automation list.
  • Keep the integrations connected. If a connection fails, Reportei sends an alert to the email address entered in step 1.
  • Notification in Reportei is not available for Summary automations.
